In BuzzBuilder, our "forward replies to remove" feature allows users to forward email replies to their BuzzBuilder account, which removes this contact from the campaign so no more emails are sent to them. You can also automate this by setting up a rule in your Gmail or Outlook inbox. This way, there's nothing for you to manage. 


In order for this feature to work, you'll need to do 2 things:


When creating a campaign, click on the Settings & Notifications button at the top right corner of your screen, and make sure you've turned on the option called "Remove Contacts Who Reply."


Your email administrator must create an email rule or filter that tells BuzzBuilder what to do. Here's how:


In BuzzBuilder, you can set up a campaign to tell your Outlook server to automatically remove any contacts who reply to your emails. This way, there's nothing for you to manage. In order for this feature to work, your Outlook/Exchange Administrator must first create an email rule or filter. Here's how:


Open your Exchange Admin Center and go to the mail flow tab in the left pane.


Next go to rules tab on top and click the ”+” icon visible above the list of rules. This opens a menu where you need to select Create a new rule…



This brings up a new window with the new rule setup wizard where you can name your rule (the Name field), configure its conditions (*Apply this rule if… menu), select the rule’s action (*Do the following… menu) and more.


Enter the name of the rule, click the Apply this rule if… dropdown and select The subject or body includes... 


Enter the keyword bbremovecontact as the term to search in the body of the email



Next, make sure to click the More options… link visible at the bottom of the new rule wizard – this unlocks more actions in the Do the following… menu. When you open it, select the option for Add Recipients and choose "to the Bcc box."



The recipient will be a unique email address associated with your BuzzBuilder account. Generally, this address is YourCompanyName@RemoveContact.com. Check with BuzzBuilder Support if you're not aware of your company's unique email address.


At the bottom of the list of Recipients, type in your unique BuzzBuilder address next to the Check Names box. Then click the Check Names button.



Confirm your selection with the OK button. Next in the main rule’s wizard window click Save to finish.
